This Privacy Policy explains how Pawfolio Pet Passport ("Pawfolio," "we," "us," or "our") handles information when you use the Pawfolio iOS application, pawfolio-site.vercel.app, or contact Pawfolio support (collectively, the "Service").
1. Scope and Who Controls Your Information
Most information created in Pawfolio is controlled directly by you. It remains on your device unless you enable iCloud Sync or choose to export or share it. Because Pawfolio does not maintain a developer-owned account database for pet records, we generally cannot view, retrieve, correct, or identify the app information stored on your device or in your private iCloud account.
This Policy does not govern information handled independently by Apple, a recipient you select, or another service you use to transmit a file. Their own privacy terms apply.
2. Information Stored in the App
You may choose to add pet names and profiles, photos and videos, birth and adoption details, care schedules, medications, allergies, conditions, veterinary records, lab results, documents, insurance information, incident reports, owner contact information, veterinary contacts, and other notes or attachments.
This content is stored locally on your device. Pawfolio uses it only to provide the features you request, such as displaying a passport, organizing records, scheduling local reminders, preparing an incident report, or creating an export.
3. Optional iCloud Sync
If you enable iCloud Sync, Pawfolio uploads your app data and attachments to your private iCloud account through Apple CloudKit so they can synchronize across supported Apple devices signed in to that account. Apple processes this information under Apple's terms and privacy policies. Pawfolio does not receive a copy in a developer-controlled database.
You can turn iCloud Sync off in Pawfolio Settings. Turning sync off stops future synchronization on that device but does not, by itself, delete information already stored in iCloud or on another device.
4. Information You Choose to Share
Pawfolio can prepare pet passports, QR links, PDFs, incident reports, calendar care passes, and full data exports. A sharing action occurs only when you initiate it. Before sharing, review the selected content and recipient carefully, especially medical, insurance, and contact information.
After information is shared, a recipient or third-party app may save, forward, copy, or otherwise use it. Deleting the original from Pawfolio does not delete copies already shared.
Emergency passport QR links
A Pawfolio emergency-passport QR code contains a website link with the selected passport data encoded after the "#" symbol. A recipient's browser decodes that data on the device; browsers do not send the link fragment to our web server as part of the page request. Anyone who has the complete link or QR image can view the information encoded in it.
QR links are not access-controlled and cannot be remotely revoked. Changing or deleting information in Pawfolio does not alter a QR code that was already shared. Share QR codes only with trusted recipients and generate a new one whenever the included information changes.
Sitter Mode
Sitter Mode creates a calendar file containing the care tasks, instructions, alerts, and optional contact or health information you select. The sitter does not need Pawfolio to open it. Calendar activity and task completion do not sync back to Pawfolio.
5. Device Permissions and Local Notifications
Pawfolio requests device access only when needed for a feature you choose. You can deny or later change permissions in iPhone Settings.
- Photos, camera, files, and microphone: used to add pet images, documents, and incident photos or videos.
- Notifications: used to schedule care reminders locally through iOS. Pawfolio does not operate a remote push notification server.
- Face ID or device authentication: used to protect access to the app. Authentication is performed by iOS; Pawfolio does not receive or store your face scan, passcode, or biometric template.
6. Pawfolio Premium and App Store Information
Apple processes Pawfolio Premium purchases. Pawfolio receives verified product, transaction, subscription-status, and entitlement information needed to unlock Premium, restore purchases, and resolve purchase issues. We do not receive your full payment-card number or Apple Account password.
7. Information Pawfolio Receives Directly
If you contact support, we receive your email address, message, attachments, and any diagnostic or other information you choose to send. We use it to answer your request, troubleshoot problems, protect the Service, and maintain appropriate support records. Do not include sensitive pet, medical, financial, or personal information unless it is necessary for the support request.
This website does not intentionally use advertising cookies, marketing pixels, or third-party visitor analytics. Our website and email providers may process limited technical information, such as IP address, browser details, timestamps, and security logs, to deliver, protect, and maintain their services.
8. How Information Is Used
Depending on the feature involved, information is used to:
- provide, secure, and troubleshoot the Service;
- store, display, organize, synchronize, export, or share content as you direct;
- schedule local care reminders;
- verify and restore Pawfolio Premium access;
- respond to support and privacy requests; and
- comply with law, enforce our terms, and protect rights and safety.
Where applicable law requires a legal basis, these activities rely on performing our agreement with you, your consent, our legitimate interests in operating and securing Pawfolio, or compliance with legal obligations. You may withdraw consent through the relevant app or device setting, without affecting earlier lawful processing.
9. When Information May Be Disclosed
Information may be disclosed:
- to Apple when you use App Store, iCloud, CloudKit, notification, authentication, or other iOS services;
- to website and email providers for hosting, security, and support communications;
- to recipients and apps you select through a Pawfolio sharing feature;
- to professional advisers or authorities when reasonably necessary to comply with law, address fraud or security, or protect rights and safety; or
- in connection with a business reorganization, subject to applicable law and equivalent protection.
We do not sell personal information or share it for cross-context behavioral advertising.
10. Retention and Deletion
App content remains on your device or in iCloud until you delete it. Delete All Pawfolio Data removes Pawfolio data, attachments, reminders, and onboarding progress from the device and, when available, requests deletion of Pawfolio data from your private iCloud account. Other devices may need to connect to iCloud before the deletion is reflected. Copies previously exported or shared must be deleted separately.
Deleting Pawfolio data or the app does not cancel Pawfolio Premium. Subscriptions are managed in Apple Account settings.
Support communications and limited operational records are kept only as long as reasonably necessary to respond, maintain security and business records, comply with law, and resolve disputes. We may retain information longer when legally required.
11. Security
Pawfolio uses Apple platform protections and reasonable administrative and technical safeguards. No method of storage or transmission is completely secure. Protect your device, Apple Account, backups, shared files, and QR codes, and contact us if you believe support information has been compromised.
12. Children
Pawfolio is a general-audience pet-care organizer and is not directed to children under 13. We do not knowingly request or collect personal information from children through support. If you believe a child provided such information, contact us so we can review and delete it when appropriate.
13. Your Choices and Privacy Rights
You can edit or delete app content; disable iCloud Sync; disable notifications or Face ID; change photo, camera, and microphone permissions; export information where available; and use Delete All Pawfolio Data.
Depending on your location, you may have rights regarding personal information Pawfolio actually holds, including access, correction, deletion, restriction, objection, portability, or withdrawal of consent. Contact us to make a request. We may need to verify the request and may retain information where law permits or requires. These rights generally cannot be fulfilled by us for app content stored only on your device or in your private iCloud account because we cannot access or identify that content.
14. International Processing
Support and website providers may process information in countries other than where you live. When required, we use protections intended to support lawful international transfers.
15. Veterinary and Emergency Disclaimer
Pawfolio organizes information supplied by users. It does not diagnose, prescribe, monitor a medical condition, contact emergency services, or replace professional veterinary advice or emergency veterinary care.
16. Changes to This Policy
We may update this Policy when Pawfolio, legal requirements, or our service providers change. The revised version will be posted here with a new "last updated" date. We will provide additional notice when required by law.
